MuSaRa: The website of a freight company that writes its own quotes.
A newly founded freight company from Wuerselen near Aachen needs, from day one, what established competitors handle with a full back office: fast, reliable quotes. We built a website that takes care of it. Real route calculation, fixed price in 30 seconds, automatic PDF quote, request management and GPS connection of the fleet. Before the first shipment rolls out, the website is already at work.

A young freight company against established back offices
MuSaRa GmbH from Wuerselen near Aachen is a freight company in the making: pallet transport, express runs and refrigerated transport, both regional and EU-wide. In the transport business, response time is decisive. Anyone requesting a price usually asks several providers at the same time. Whoever delivers a reliable quote first wins the job.
Established freight companies have dispatchers and back-office teams for this. A new business does not. This is exactly where our concept came in: the website has to take on the work that elsewhere requires staff. Receiving requests, calculating routes, working out prices, writing quotes. Around the clock, from day one.
What we did
Six building blocks that together replace a back office
Concept, design and development came from a single source. The result is not a business-card website but a working tool:
- Transport configurator with real route calculation. The customer enters the pickup and delivery location, and the site determines the actual driving distance in kilometres in the background and calculates the fixed price from it. Once calculated, locations and routes are cached so the calculation stays fast and does not cause unnecessary costs.
- Visual load-space selection. Whether pallets, loading metres or full load: as they make their choice, customers see live how the vehicle’s load space fills up. Plus transport type (standard, express, refrigerated transport), preferred dates and an automatic discount for flexible pickup windows.
- Comparison calculator: drive it yourself or hire a carrier? Alongside the fixed price, the site shows what driving the route yourself really costs: fuel, vehicle wear, working time, lost productivity. The customer sees both figures side by side and makes an informed decision.
- Automatic quote as a PDF. After the request, the customer immediately receives a professional PDF quote at a dedicated, protected access link. If the freight company later changes details of the request, the PDF at the same link is automatically up to date.
- Request management directly in WordPress. Every request lands as a case in the admin area, with a status workflow from “New” through “Called” to “Booked”. Automatic notification to the freight company, automatic confirmation to the customer. Spam protection works in multiple layers in the background, entirely without captcha puzzles for genuine customers.
- GPS connection of the fleet. The vehicles are connected via a GPS system that continuously reports their positions to the website. On the homepage it shows live in which cities a vehicle is currently available for the next pickup. Customers track their shipment via a personal tracking link.
The crux
Changing prices without a developer
A calculation tool is only valuable if the company can control it itself. Diesel prices fluctuate, capacity changes, new services are added. And nobody wants to commission an agency for every price adjustment.
That is why all calculation parameters sit in a dedicated settings area in the WordPress admin: base prices for standard and express, per-kilometre rates, free kilometres, surcharges per load unit, even the coefficients of the comparison calculator. The freight company adjusts its prices itself, and the website calculates with the new values from the next request onward. No ticket, no waiting time, no developer costs.
Result
The platform works even before the operation officially launches
The website is live and takes in requests while the company builds up its fleet and operations for the official launch. Every request is automatically calculated, answered and documented. The founders focus on vehicles, licences and staff, not on writing quotes.
Alongside the homepage with its configurator, we created dedicated service pages for pallet transport, express transport, Euregio and EU transports as well as construction-site logistics, a shipment tracking feature and a recruiting area for professional drivers with a quick-application form. An operating-area map shows the delivery region around Aachen as a lean, self-built graphic: without an external map embed, without cookies, without trackers.
We continue to support the platform on an ongoing basis, from fine-tuning the configurator to expanding the GPS system as the fleet grows.
The principle behind it
The first employee of this freight company is the website.
It calculates routes, works out fixed prices, writes quotes as PDFs, manages requests and reports around the clock where the vehicles currently are. That leaves the founders time for what really defines a freight company: driving reliably.
